has developed a Sales Management System - a network / server
based application for the use in one office through LAN connection
or more offices with connection through the Internet. The sales
system is built using Internet technologies and is browser-based
(currently optimized for Internet Explorer 4+), thus avoiding
installation and compatibility issues on many various workstations
and laptops. Another advantage of working via browser is: for
mobile managers / sales representatives that can log on to the
sales system from anywhere in the world (after passing a security
check) or for members of a company who need to access the application
from home.
The
Sales Management System is a complex of databases and features
that were built for three major purposes:

For sales (account) managers to ease burden of paperwork,
increase operation effectiveness and to automate routine processes.
- For
company executives to monitor performance and build sales reports
(up to date and projected) on individual manager, team, office
and company overall.
- For
further integration with other packages (specified in details
further).
The
current features include:

Database. (Includes company details like address, VAT number,
contact names and details etc.). |
| Hit
list. (A database of targeted companies who are not yet
customers; the system is able to limit number of targets per manager
and limit time allowed for manager to develop business with a potential
customer - after a certain number of days the expired entry will
be removed, unless manager has issued a quote or a contract, then
the "hit list entry" will automatically be moved to the
Clients database.) |
| Contracts/Quotes
Database. (Database of issued quotes, past and currently
active contracts). |
| New
Enquiry Form. (Compile and save new quote or contract. Total
flexibility: along with automatic discounts on bulk orders manager
may give further overall discount or increase/reduce default cost
of a product/service as he/she feels appropriate in each particular
situation.) |
| Discount
control system. ("Control Discount" parameter
controls "Total amount per Quote/Contract" WITH discounts
given by an account manager and if the Total would be WITHOUT these
discounts. The system will not allow manager to save Quote/Contract
if overall control discount has been exceeded.) |
| Current
Business Form. (To display all current contracts and quotes
issued to the client and their major details) |
| Expenses
Form. (For keeping track on company or individual business
expenses for further comparison with revenues) |
| Invoices
& Payments. (Set of Invoices is generated automatically
once contract signed by the customer. This form allows to get full
information about invoices at any stage of their progress and input
payments against invoices. Manager may manipulate with products/services
included for each invoice if necessary. It also automatically adjusts
final invoice to cover discrepancies with rounding-up summary VAT
for all invoices and Total VAT as per Contract.) |
| Advertising
Space Management. (For central management of advertising
space on the web site - thus no banner space will be overbooked
by account managers working within the office or other branches
of the company.) |
| Reports
system. (Graphic Charts for visual representation of expenses
and revenues over a periods of time per individual manager, team,
office and company overall. Also monthly summary data of major financial
and performance characteristic.) |
| Personal
File. (A database of personnel details including records
of contact details, benefits, commissions, salaries, targets, disciplinary
notes, medical repords etc. Each manager has access only to his/her
own records.) |
| Communications
Port. (Alert System, Email, Notice Board. Alert system is a
reminder that will notify account manager about todays events, i.e.
"to print out and send certain invoice", "contact
company due to an near Contract expiry date for possibly an extension"
etc.) |
| Library.
(For centrally storing any shared corporate documentation related
to sales activities.) |
| Shareholders.
(Database / distribution list of individuals and companies that
are important to your company operations, i.e. investors, suppliers,
partners etc.) |
| Holidays.
(For staff holidays time reservation: booking and management, useful
to see that no sectors are empty at any time.) |
| Administration
Tools. (For managing system variables, i.e. rate of VAT,
setting up new services, regulate discounts and managers commissions
etc. etc.) |
| Further
Integration. The system can be integrated with accounting packages
such as Sage. It can also be integrated with Voice Processing systems
or Voice processing system can be developed specifically for Sales
Management System to your specification. |
