How to: Make and send screenshot

Sometime, customers need to troubleshoot certain problems they experience, but without seeing what is on their screen it is often difficult to identify cause and provide help. In this case a screenshot would be of great help. Here are the step-by-step instructions:

We assume that you are on Windows  Vista, XP or earlier versions. There are two methods. A very little difference is between them. If you wish to send a Full screenshot of ALL of your screen use "Method 1" and if you only need to send a screenshot of a particular window on the screen then use "Method 2".

Below is a sample of a visual difference between these two methods. With "Method 1" you will get the full snapshot of the whole screen, where with "Method 2" you will get only a selected window (application), the one that is highlighted and on the top of other applications.

Screenshot methods

As mentioned above, the procedure for both methods is very similar and the difference is highlighted in blue:

Method 1.

  • Press once the 'Print Screen' key on your keyboard (a button labeled [PrtScr], usually at the top right of your keyboard).
  • Open any image editor, such as Microsoft Paint (Start button > All programms > Accessories > Paint).
  • From the top menu of your graphic application go to [Edit] menu and click on [Paste].
    • (optional) At this point you may even crop the captured screenshot to remove unnecessary portions of the image.
  • Then go to the [File] menu.
  • Click on [Send] option.
  • The usual email editor will pop-up on the screen. You may notice that the screenshot is ALREADY attached to the email.
  • Fill-in email address, subject and message as necessary and ... send it!
    • (optional) You may save the screenshot to your computer for future reference. Go back to your image editor, [File] menu, select [Save] and save this image as file, as normal.

Method 2.

  • Select a window (application) on the screen you wish to make a screenshot of, by just clicking on it (so it sits on the top of all other screens).
  • Press and hold [Alt] key on your keyboard and then simultanoiusly press the 'Print Screen' key on your keyboard (a button labeled [PrtScr], usually at the top right of your keyboard).
  • Release those two keys.
  • Open any image editor, such as Microsoft Paint (Start button > All programms > Accessories > Paint).
  • From the the top menu of your graphic application go to [Edit] menu and click on [Paste].
  • Then go to the [File] menu.
  • Click on [Send] option.
  • The usual email editor will pop-up on the screen. You may notice that the screenshot is ALREADY attached to the email.
  • Fill-in email address, subject and message as necessary and ... send it!

  • The screenshot will be automatically saved as a file on your desktop.
  • To copy the entire desktop, press Command-Control-Shift-3.
  • The screen shot will be placed on your clipboard for you to paste into another program.
  • To capture a portion of the desktop, press Command-Shift-4.
  • A cross-hair cursor will appear and you can click and drag to select the area you wish to capture.
  • When you release the mouse button, the screen shot will be automatically saved as a PNG file on your desktop. (The file is saved as PDF in Mac OS 10.3 and earlier.)
    • To capture a specific application window, press Command-Shift-4, then press the Spacebar.
    • The cursor will change to a camera, and you can move it around the screen. As you move the cursor over an application window, the window will be highlighted.
    • The entire window does not need to be visible for you to capture it.
